The department for University IT Services (UIT) offer a number of solutions for its employees with which they can store, share and work with their files.

Full time employees at Uppsala University are entitled to a centralised personal folder – a personal storage space in which to store, access, share and work with files on a secure and backed-up centralised server. The current amount of storage included for full time employees is 100GB.

Group folders is an optional service that provides access to one or more network drives where personal or group data can be stored. Data is secured by spreading the information across multiple drives, multiple servers, and one or more protected server halls (depending on the level of service ordered).

To store research data, there are the Vesta and Allvis services. In addition, there is the ability to share and store files via the cloud.

Why should I store my files in personal or group folders?

Personal folders and group folders on UIT's "Argos" solution give the employee access to storage with a high level of security, modern file management tools and a centralized backup solution. It is a university-run, secure and stable solution for storing and sharing files between employees that also offers flexible opportunities for collaboration both within and outside the university.

Vesta - Secure storage and analysis of research data lets you store and analyze sensitive research data in a secure way. Vesta consists of two parts:

  • Storage that uses the same technology as Datalagring, but with encryption on disk and more rigorous restrictions on how to access the data.
  • Analysing capabilities where you have access to a virtual computer with a selection of software where you can analyze and process your data without ever leaving the secure environment.

A virtual computer is a computer software that behaves as if it were a real computer. You run software in the virtual computer in the same way as in your physical computer, and the software is unaware that it is run in another software and not directly in the computer. In this way several users can share a server, and for every user the experience is that they have the server to themselves.

How do I use Vesta?

You can use Vesta in your web browser or in a designated client software, VmWare Horizon Client. The client software can be installed from Software Center or the equivalent software portal in your computer. You import your research data to a storage area in Vesta and process them in your virtual computer. When your analysis is finished you can export your results for example to publish them in a paper or a report.

If you use your web browser we recommend that you use Chrome, since we have best experience with that browser, but any modern web browser should work.

How do I get access to Vesta, and what does it cost?

Access to Vesta is ordered through the IT-support. You will find more information in the service description on how to apply for access and the cost of the service.

Vesta is configured in such a way that you can copy and paste text and images from your work computer to your virtual computer, but not the other way around. The intention is to prevent you from copying sensitive data by mistake into a software on your work computer, where the data does not have the same level of protection as in Vesta

Apply for installation of new software

Dataportal Allvis is the system chosen by Uppsala University for storage of research data. Allvis is a centrally funded, and a limited volume is allocated to researchers and research project free of charge. The volume allocated is 200Gb. The maximum size of a single file that can be uploaded is 10 Gb. Dataportal Allvis has been classfied with CIA 233.

Collaboration with external partners

To collaborate with external users you need to apply for an external account, because you need an active account att Uppsala university to be able to login to Allvis. How to apply for an external account.

Other solutions for collaboration and file storage

If your need does not relate to research data, Uppsala University offers other solutions for collaboration or personal file storage. Send an inquiry via IT Support.

Sunet Box is a file storage and sharing service in the cloud. Share files with others in the university and college sector in Sweden as well as with other users on the internet.

Transfer of personal data

So that you can use Sunet Box, the University needs to transfer your name, email address and status as an employee of Uppsala University to the company Box Ltd when you log in to the service. This data is processed so that Uppsala University can administer your Sunet Box account and so that other users of Box can share files with you. The use of Sunet Box is voluntary and when you log in for the first time you will be asked to give your consent to the transfer of this personal data. If you do not consent, you will not be able to log in and create a user account in Sunet Box.

GDPR

To ensure that our data is adequately protected, it must be classified and the right level of security must be put in place in the environments in which the data is stored. Data is classified based on the model Confidentiality, Integrity and Availability (CIA). The level of security demanded of the system is based on this data classification and is identified by performing a risk analysis.

Sunet Box is part of the University’s e-administration organisation and has been risk assessed and confirmed as meeting the criteria for level CIA 222, meaning that the service is sufficiently secure to store personal data that is not considered sensitive.

Special rules on use

To use Sunet Box, you must follow the special rules applying to its use. In brief, these rules are that:

  • Sunet Box must not be used to store and process sensitive personal data or sensitive documents.
  • Mission-critical information may be stored only as copies in Sunet Box.
  • Any files shared with people outside Uppsala University become official or public documents.
