Application manual for the Erasmus grant for blended mobility

This handbook describes how to apply for an Erasmus grant for blended mobility and your obligations as a recipient of an Erasmus grant.

The Erasmus grant for blended mobility can be applied for if you are admitted to a course or programme that is a combination of physical mobility (minimum of five and a maximum of 30 days) and a mandatory virtual component either before, during, or after the physical mobility.

This applies to students from Uppsala University at all levels: bachelor's, master's, and doctoral. However, doctoral students are exempt from the requirement to have a mandatory virtual component, as long as the doctoral student does not participate in short-term blended mobility through a so-called blended intensive program (BIP).

Your application is made online through the application form in MoveON. You can find the link to the application form on the front page for the Erasmus grant for blended mobility. After the application in MoveON has closed, all applications will be processed. Before your application is complete, there are three additional steps that you are obligated to take to receive your first grant payment. You will receive information from a International officer after the application in MoveON has closed on how to proceed with the following three steps:

1. Learning Agreement (LA)

You must create a Learning Agreement before you depart, or in connection with the start of the course. Your Learning Agreement contains information about the course you will study at your host institution. In order for your Learning Agreement to be complete, it must be signed by you, your international coordinator at Uppsala University and the host institution. You can find the Learning Agreement form in the link list on the bottom of the page on the Erasmus grant for blended mobility.

2. Grant Agreement (GA)

When we have processed your application, you will be sent a Grant Agreement that contains the total grant sum. You should read, sign and upload your Grant Agreement in MoveON. If the start and/or end date you stated in your application has changed, you will be able to change this in MoveON when you upload your Grant Agreement. Your grant will then be re-calculated based on the new dates; please note that the sum specified in the Grant Agreement will no longer be valid.

3. Travel Grant Agreement (TGA)

If you are granted a Green Travel Grant, you will be sent a Travel Grant Agreement that you must sign and upload in MoveON. If you use the travel grant for two ways, or as a contribution to Interrail pass you receive the payment after you have signed and uploaded your travel grant agreement.

Contact information

Most of your contact with Uppsala University will be via email. Therefore, it is essential that you make sure the email address you stated in your application will be valid throughout your course, and for at least three months afterwards. Therefore, always notify us at erasmus@uu.se if you change email address. We would also ask you to add the two emails we use for sending you information from (erasmus@uu.se and noreply.uu@moveon4.de) to your list of trusted senders in your e-mail programme. Check your spam folder regularly as our mails can end up there.

What to do if anything changes

You must immediately notify your international coordinator at the Unit for International Mobility of any changes, such as interrupting your studies, or shortening the study period.

Insurance

All Erasmus students are insured via Kammarkollegiet’s Student OUT. The policy is valid in the host country around the clock during your entire exchange and two weeks before and two weeks after the exchange. In the event of an emergency during your Erasmus exchange, contact Falck Global Assistance.

If you receive a travel grant to take the train to your study destination and intend to make stops along the way, keep in mind that you must take out additional insurance for this period. Kammarkollegiet’s insurance policy is only valid for the most direct journey possible.

If you are an EU/EEA citizen and will participate in an exchange in an EU/EEA country, you need to order a European Health Insurance Card (EHIC). This entitles you to access to necessary medical care in EU/EEA countries on the same conditions as residents. In Sweden, the EHIC is ordered via Försäkringskassan.

Below, you will find information about the end documentation you must submit when you have completed your course. The documentation should be submitted as early as possible, but no later than one month after the exchange. If you do not provide mandatory documentation, you might be liable for a refund. If you are not able to submit the documentation within one month, please inform us via erasmus@uu.se.

Certificate of Attendance

The Certificate of Attendance is a document that includes information about the start and end date of your course. It is signed by your international coordinator at the receiving institution. You are responsible for getting the document signed and if possible, try to get it signed before departure.You can find the Certificate of Attendance template in the link list on the bottom of the page on the Erasmus grant for blended mobility. The Certificate of Attendance should be uploaded in MoveON.

If your study period is different to the one you stated in your grant application, your grant will be recalculated. If your study period is shorter than that you stated in your application, you might be liable for partial refund of the grant.

Erasmus Participant Survey (EPS)

The Erasmus Participant Survey is a mandatory survey that is automatically emailed to you after your last day of study. Please check your spam if you have not received an EPS.

Proof of travel by sustainable means of transport

If you applied for additional grant for sustainable travel and Green Travel Grant, you should upload receipts in MoveON by the latest at the end of your exchange and write a short report. As a proof of car-pooling, you can upload receipts from the car rental, petrol, bridge and road tolls.

For students who will be participating in a blended mobility, the entire grant will be paid in connection to start period. If you for any reason shorten your physical mobility, your grant will be recalculated according to dates stated in Certificate of Attendance and you might be liable for partial refund.
