Application manual for International Credit Mobility

You may conduct studies within Erasmus ICM for a maximum of 360 days per study level (Bachelor, Master, Ph.D.). According to the regulations, one month is 30 days. You can go on an Erasmus ICM exchange several times.The minimum period for exchange studies is 60 days.

Before the exchange

The following steps must be completed before starting your exchange. An international coordinator will provide you the required documents, information and the language test

1. Learning agreement (LA)

Before you begin your exchange, you must establish a Learning Agreement (LA). A LA is an agreement between you, the host university, and your home institution or The Unit for International Mobility regarding which courses you will take during your exchange. This should be completed before your exchange starts but should be uploaded to MoveON once the exchange is completed.

2. Grant Agreement (GA)

After your grant application has been approved, you will receive a Grant Agreement (GA) that you should sign and send to erasmus@uu.se. The GA is an agreement between you and Uppsala University regarding your grant. It must be signed before the start of your exchange to be valid.

3. Language test

You will also need to take a language test. The results of the language test do not affect your grant.

During the exchange

Any changes to your studies, such as cancelling, extending or shortening your study period, must be reported to your international coordinator at Uppsala University immediately. You might be required to pay back parts of the grant if you cancel or shorten your study period.

After the exchange

The following documents should be uploaded to your MoveON profile after the exchange. An international coordinator will provide you the required documents and information.

1. Learning agreement (LA)

Your Learning agreement should be completed by the start of the exchange but can be uploaded to your MoveON profile when the exchange is finished.

2. Certificate of Attendance

This document is signed by you and the host university to confirm your presence for studies at the hosting university.

3. Erasmus Participant Report

This is a questionnaire that is automatically sent to your email after the exchange, which you fill out and submit online.

Payment of the grant

For students going on an exchange during one semester, the grant is paid in two instalments:

  • 70% of the grant + the travel grant is paid before the start of the study period.
  • 30% of the grant is paid upon completion of your studies and after you have submitted the Certificate of Attendance, Learning Agreement and filled in the Erasmus Participant Survey. The documents should be uploaded to your MoveON profile, apart from the Survey which is sent to your e-mail address.

For students who travel abroad for a full year (two semesters), the grant is paid in three instalments:

  • 35% of the grant + the travel grant is paid before the start of the study period.
  • 35% of the grant is paid at the start of the second semester.
  • 30% of the grant is paid upon completion of your studies and after you have submitted the Certificate of Attendance, Learning Agreement and filled in the Erasmus Participant Survey. The documents should be uploaded to your MoveON profile, apart from the Survey which is sent to your e-mail address.

If your study period turns out to differ to the dates stated in the grant application, your grant will be re-calculated before the last payment.
